Frequently Asked Questions
Answers to the 24 most common questions about data sources, legal compliance, deliverability, pricing and support.
Data and sources
Where the data comes from, how it is verified and what it covers.
What is Expomatik?
Expomatik is a trade fair exhibitor data and email outreach platform. It gives access to exhibitor lists from trade fairs worldwide and sends email campaigns to those companies, scheduled around the trade fair date. It is used by stand builders, travel agencies, logistics firms and any B2B company that sells products or services to trade fair exhibitors.
Where does the data come from?
It is compiled from the public exhibitor catalogues of trade fair organisers and from companies' own websites. Every record shows its source, so you can see in the panel where each piece of information came from. Records without a clear source are not published.
Which trade fairs are covered?
The catalogue includes thousands of trade fairs in Türkiye and around the world. Many of them already have a ready exhibitor list, and coverage keeps growing. You can see which fairs are ready in the Trade Fair Directory.
What if the fair I need has no list yet?
You can leave a request on the fair page in one step; only your email address is needed. We will let you know by email when the list is ready. Leaving a request is free and creates no obligation.
Are the contact details verified?
Before sending, every address goes through a verification service; invalid ones are removed and you are not charged for them. Verification shows that an address can technically receive email. It cannot tell whether a person still works at the company.
Legal compliance
Commercial email rules, data protection and sending without tracking.
Is it lawful to email these companies?
Emails are sent with templates that follow commercial email rules: every email carries an unsubscribe link, the sender's identity and a postal address. Recipients who unsubscribe are added to the suppression list and that address receives nothing further. The right to contact the list and responsibility for the content lie with the sender; details are in the Terms of Use.
Can I see open rates?
No, the product does not measure opens. We do not place an open-tracking pixel in any email. This is a deliberate choice: we do not think recipients should be tracked without knowing it, and pixels lower deliverability. What we measure: sent, delivered, bounced and replied.
How do I ask for a record on the platform to be removed?
Write to us from the Contact page, or by email to info@expomatik.com, with the company name and the relevant link. These requests are handled with priority. Requests under Turkish data protection law (KVKK), such as access, correction or deletion, are concluded within 30 days at the latest; the procedure is described in the Privacy Notice.
Deliverability
What we do so that emails reach the inbox and not the spam folder.
How do you protect deliverability?
Campaigns go out from sending addresses that have completed a preparation period, within a daily limit per address and spread across working hours; there are no bulk blasts. Blacklists and domain health are monitored, and risky sending is blocked. If the bounce rate goes above the threshold, the campaign is paused automatically.
What happens if an address turns out to be invalid?
You are not charged for addresses removed during verification before sending. Records in a list you have opened that later turn out to be invalid are refunded to your balance. Addresses that hard bounce are added to the suppression list automatically.
Which domain is used for sending, and do I need to buy one?
With Secure Mail, a separate sending domain is set up for you and the system takes care of it: registration, SPF, DKIM and DMARC settings and the preparation of the sending addresses. You do not buy a domain or make any technical changes. For deliverability, each domain holds a limited number of sending addresses, and a new domain is opened automatically as your number of addresses grows. When a registration is close to expiring, our team renews it and tells you in advance.
Will my sending stop if I rely on a single domain?
If a domain is blacklisted or its bounce rate goes above the threshold, the sending addresses on that domain are stopped to protect your reputation. If you have only one domain, sending stops too. To avoid this, you can add a backup domain: its sending addresses complete their preparation period and stand by, and they are not normally used in campaigns. As soon as your main domain has a problem, the system moves sending to the backup and lets you know, with no action needed from you. You can add a backup domain under My domains in your panel.
Are emails sent from my own email address?
There are two options. With Personal Mail you connect your own account and emails go out from your address. Secure Mail sends from a separate set-up prepared for you, so the reputation of your main domain is not put at risk. The two are compared on How It Works.
Pricing and getting started
What you pay and when; trying it free of charge.
Can I try it first?
Yes. With a free account you can browse the trade fair catalogue and sample records; no credit card details are needed.
How does pricing work?
Opening lists from the catalogue is pay as you go and is taken from your balance; there is no mandatory monthly plan. The sending tools are charged monthly. Payment is by bank transfer in Turkish lira (TRY), and in euros (EUR) where that option is offered. Current figures and example monthly costs are on the Pricing page.
Can I see the price of a list before I open it?
Yes. The fee is shown on screen before you open the list, and nothing is charged without your confirmation. Small lists of up to 50 companies are free.
How do I get started?
Create a free account, choose a trade fair in the Trade Fair Directory and review its exhibitor list. The step-by-step process is on How It Works.
Panel and CRM
Replies, follow-up emails, campaign recipients and the sales pipeline.
Is Expomatik a CRM, or a list and email tool?
Both. Alongside exhibitor data and campaign sending, the panel includes a sales pipeline: companies that reply move through the stages New, Contacted, Replied, Brief received, Quoted, Design, Won and Lost, and you can record notes, calls, meetings and quote amounts. If you use a corporate CRM, stage and reply events are sent to it by webhook. All features are on the Product page.
Does it collect trade fair visitor data?
No. Expomatik works with data on the companies that exhibit (take a stand)at a fair. Stand visitor collection and badge or QR scanning are not part of the product; for this, use the organiser's visitor system or your own form.
Do recipients who have not replied receive a follow-up email?
Yes. When you set up a campaign, you choose the number of follow-up steps and the interval in days. Recipients who have not replied to the first email receive a follow-up in the same thread with “Re:” or with a new subject. Recipients who reply receive no further follow-ups. You can also set up a separate follow-up campaign within 60 days after the fair.
Who receives the campaign email at each company?
In a campaign built from a trade fair list, the email goes to each company's general email address (such as info@). There is no selection of people or roles. Before sending, the Coverage Report shows how many companies will be reached.
What does the campaign report show?
The number of emails sent, delivered, bounced and replied to, and in an A/B subject test, which subject received more replies. Open rates are not shown, because no open-tracking pixel is used. The Daily Report gives a day-by-day breakdown of the last 30 days.
Account and support
How we get back to you if something goes wrong.
How do I get support if I have a problem?
If you are a member, opening a support request in your panel is the quickest way: your request is recorded, you receive a reference number and you can follow its status in the panel. If you are not a member, you can use the form on the Contact page, and your message also receives a reference number.
I cannot access my account. What should I do?
You can reset your password with the “Forgotten your password?” link on the sign-in page. The link is sent to your email address and is valid for 60 minutes. If you do not remember the address you registered with, write to us at info@expomatik.com and we will find your account together.
Is your question not here?
Write to us and your message is recorded with a reference number. On weekdays during working hours (Türkiye time, UTC+3) we usually reply on the same working day. You can also write to info@expomatik.com.
