Expomatik Trade Fair Data Platform

Product

Before, during and after the fair: verified exhibitor data, campaigns scheduled around the fair date, one Inbox and a sales pipeline. What we do not do is on this page too.

What does Expomatik do?

Expomatik is a trade fair exhibitor data and email outreach platform. It gives access to exhibitor lists from trade fairs worldwide and sends email campaigns to those companies, scheduled around the trade fair date. It is used by stand builders, travel agencies, logistics firms and any B2B company that sells products or services to trade fair exhibitors.

It compiles the exhibitor lists of trade fairs, completes and verifies company contact details, schedules campaigns around the fair date, sends follow-up emails, gathers replies in one Inbox and moves companies that reply through a sales pipeline. The product is for exhibiting companies; stand visitor collection (badge or QR scanning) is not part of it. It connects to the CRM you already use through webhook integrations.

What happens before, during and after the fair?

Before the fair

  • You choose your target fairs in the catalogue and open their exhibitor lists in your panel.
  • You can build segments by country, sector and contact coverage, and put existing customers on the exclusion list.
  • The campaign is scheduled in waves around the fair date, and follow-up emails go out automatically.
  • Replies arrive in the Inbox and on the company record; meeting requests can be moved to the sales pipeline.

During the fair

  • You can send companies that replied your stand number and a meeting reminder.
  • The Inbox and the CRM board keep conversations and meetings in one place throughout the fair.
  • Expomatik does not collect stand visitors: badge or QR scanning, visitor forms and passing leads to stand staff are not part of the product. For this, use the organiser's visitor system or your own form.

After the fair

  • Within 60 days of the fair closing, you can set up a follow-up campaign to the same exhibitors.
  • Replies become opportunities; brief, quote and design stages move forward in the CRM, and quote amounts are reported.
  • With webhooks, stage changes flow to your own CRM or to Zapier or Make.

Exhibitor data

Verified contact data for the companies that take a stand at a trade fair. Every record shows its source.

In the panel: Trade Fair Directory, My Lists, My Companies

Trade fair catalogue
More than 4,300 trade fairs and 180,000 exhibiting company records, filtered by country, city, date and sector. For a fair whose list is not ready yet, you can leave a free request to be told when it is.
Company record
Company name, country, city, sector, website, company email, phone, address and social media accounts. Every record shows which catalogue or website the information came from.
Verification before sending
Email addresses are checked for deliverability. You are not charged for invalid addresses, and records that later turn out to be invalid are refunded to your balance. Verification shows that an address can receive email; it cannot tell whether a person still works there.
List updates
Exhibitors added to a fair later are shown as a difference; when you take the update, the new companies join your list. Companies that no longer exhibit are marked separately.
Your own list
You can upload a list you already have and use it with the same verification and sending tools. If a fair is not in the catalogue, send us the link to its exhibitor page and our team will compile the list.

Recipients and coverage

Campaign emails go to each company's general email address.

In the panel: Campaign wizard, Coverage Report

Company-level sending
In a campaign built from a trade fair list, each company receives one email at its general address (such as info@). There is no selection of people or roles. With your own sending list, the addresses in that list are used.
Coverage Report
Before sending, you can see how many companies will be reached and how many cannot be reached. Once you confirm, the campaign is prepared for sending.
Exclusion list
Existing customers and companies you already work with can be excluded by company, email address or domain. Campaigns skip them, and you keep following them in the CRM.

Email campaigns

Your trade fair calendar becomes your campaign calendar. Two sending channels, one panel.

In the panel: Email Outreach: Campaigns, Templates, Sending lists

Scheduled around the fair date
A campaign can start a set number of days before the fair (for example separate waves 90, 45 and 14 days before), start straight away or be set for a later date. If the fair's opening date is not in the system, the wizard asks you for it.
Follow-up emails
Recipients who have not replied to the first email receive a follow-up after the interval you choose, either in the same thread with "Re:" or with a new subject. Anyone who replies receives no further follow-ups.
Templates by language
A Turkish, German or English template is chosen according to the recipient's country. Templates can use personalisation tags such as the company name, the fair name, days to the fair, the fair date and the city.
A/B subject test and test email
Two subject lines are distributed at random, and the report shows which one received more replies. Before sending, you can send the campaign to your own address as a test.
Personal Mail
You connect your own email account (up to three accounts, used in rotation). There is no set-up period or approval to wait for, and a daily limit applies. Suited to one-to-one emails with companies you know and to small campaigns.
Secure Mail
Higher-volume sending from separate domains registered for you and from secure sending addresses that have completed a preparation period, so your company domain is not put at risk. The preparation period is about two weeks; each sending address sends up to 40 emails a day, spread across working hours, and a campaign pauses automatically if the bounce rate goes above 3%.

Replies and Inbox

Replies arrive in one list, whichever channel the email was sent from.

In the panel: Inbox, Write a one-to-one email

One Inbox
Replies to your secure sending addresses and to your own connected accounts appear in one list, each shown with the campaign and the company it belongs to.
Replies on the company record
Each reply is added to the company's record automatically. You can continue the conversation from there and move the company to the sales pipeline in one click.
One-to-one email
You can write to a single company from your own address. Signatures and templates come from the same library, and the conversation is kept on the company record.

Sales pipeline (CRM)

A company that replies becomes an opportunity, and you follow it through the stages in your panel.

In the panel: CRM: Board, Summary, Analysis

Stages
New, Contacted, Replied, Brief received, Quoted, Design, Won, Lost. The stage moves on by itself when a campaign email is sent and when a reply arrives.
Opportunity record
Notes, calls, meetings, briefs, quotes and design entries, with the quote amount (TRY, EUR, USD or GBP) and the date of the next action. The board orders open work by the next action due.
Summary and analysis
The number of opportunities and the quote total for each stage, and the reply rate for each campaign, so you can see which fair and which campaign produced opportunities.
Webhook integrations
When a CRM stage changes, a list is updated or a campaign receives a reply, a signed notification is sent to your own system, Zapier or Make. This is how Expomatik connects to the CRM you already use.

Measurement and deliverability

Four figures that can be measured reliably. No open-tracking pixel.

In the panel: Daily Report, Deliverability, My domains

Campaign figures
Sent, delivered, bounced and replied. Open rates are not shown, because no open-tracking pixel is used.
Daily Report
A day-by-day breakdown of sending for the last 30 days. Selecting a day opens the list of emails sent, delivered and replied to on that day.
Deliverability
The status of each secure sending address, DNS checks for each domain, and blacklist and bounce monitoring. A sending address with a problem is paused automatically.

Legal compliance

Rules that cannot be switched off. A member's declaration does not override them.

In the panel: Sender profile, Suppression list

In every email
A one-click unsubscribe link and header, the sender's identity and a postal address. A campaign does not start until the address is set.
Suppression list
Addresses that unsubscribe, hard bounce or complain are added automatically and receive nothing further from any campaign. You can also add addresses yourself.
Responsibility and notices
Responsibility for the list and the content lies with the member. The panel shows notices on Turkish commercial email rules (including the IYS register) and on GDPR for recipients in the EU.

What we do not do

  • No stand visitor collection, badge or QR scanning, or visitor behaviour tracking.
  • No open rates; no open-tracking pixel is used.
  • No promise of replies or sales. We help you reach exhibiting companies at the right time.
  • We cannot confirm that a person still works at a company; email verification shows deliverability.
  • It does not replace a corporate CRM; stage and reply events are sent to your existing CRM by webhook.
  • Field coverage varies by trade fair; the share of verified email addresses is shown for each fair.

Questions about the product

Is Expomatik a CRM?

The panel includes a sales pipeline: companies that reply move through the stages New, Contacted, Replied, Brief received, Quoted, Design, Won and Lost, and you can record notes, calls, meetings and quote amounts. If you use a corporate CRM, webhook integrations send stage and reply events to it.

Does it collect trade fair visitor leads?

No. Expomatik works with data on the companies that exhibit (take a stand) at a fair. Stand visitor collection and badge or QR scanning are not part of the product.

Where do replies to my emails go?

To the single Inbox and, automatically, to the record of the company concerned. A company that replies can be moved to the sales pipeline in one click, and it receives no further follow-up emails.

Can I send follow-up emails?

Yes. Recipients who have not replied to the first email receive a follow-up after the interval you choose, in the same thread with 'Re:' or with a new subject. You can also set up a separate follow-up campaign within 60 days after the fair.

Who receives the campaign email at each company?

In a campaign built from a trade fair list, the email goes to each company's general email address (such as info@). There is no selection of people or roles. Before sending, the Coverage Report shows how many companies will be reached.

Why are open rates not shown?

No open-tracking pixel is used. A pixel lowers deliverability and is not a reliable measure. You see the number of emails sent, delivered, bounced and replied to.

Do I send from my own email address?

There are two options. With Personal Mail you connect your own account (up to three accounts, with a daily limit). With Secure Mail, higher-volume sending runs from separate domains and secure sending addresses set up for you, so your company domain is not put at risk.
