Hospitality and tourism fairs are not one market. Equipment makers exhibit at hospitality equipment fairs, agents, DMCs and hotels at travel trade fairs, and suppliers to parks at attractions fairs. An exhibitor list is only as useful as your sense of who sells and who buys at each fair.
Which three groups do tourism fairs fall into?
- Hospitality equipment fair
- Commercial kitchens, laundry, service equipment, hotel textiles and furniture. Exhibitors are manufacturers and distributors; hotels and restaurants mostly visit.
- Travel trade fair
- Destinations, hotels and hotel groups, tour operators, travel agents, DMCs, airlines and travel technology firms exhibit. Contracting and partnership talks happen here.
- Attractions fair
- Ride and attraction manufacturers, attraction designers, ticketing, food and beverage and merchandise suppliers. Park operators mostly visit.

Who should you target in the exhibitor list?
| You are | Which fair's list, which companies |
|---|---|
| Hospitality equipment supplier (kitchen, laundry, textiles, furniture) | Distributors and dealers from your target country at equipment fairs; hotel groups exhibiting at travel trade fairs |
| Tour operator or travel agent | DMCs and hotels in the destination at travel trade fairs, for allocations and product |
| DMC or inbound agent | Tour operators and agents exhibiting from source markets; ITB and WTM are dense with them |
| Travel technology firm | Hotel groups, agents and tour operators, for booking, channel management or payment products |
| Supplier to parks and attractions | Makers of complementary products and regional distributors at IAAPA shows, for joint projects and representation |
For an equipment supplier the key distinction is this: the manufacturer on the next stand is a competitor, but a distributor exhibiting from your target country can become your sales channel. To reach hotels directly, look at the hotel groups exhibiting at travel trade fairs; their purchasing is often run centrally.
Why is timing different in tourism?
Tourism runs on seasons. Hotels and tour operators negotiate next season's contracts and refurbishment budgets outside the peak; during the season, purchasing teams are stretched. A practical plan:
- Six to eight weeks ahead: split the list into the three groups and choose 30 to 80 targets by country and company type.
- Four to five weeks ahead: send a short introduction with a meeting request. See our meeting request email templates.
- Fair week: at travel trade fairs most meetings are booked in advance; walking up to a stand is easier at equipment fairs.
- Two weeks after: follow up with quotes, rates or allocations. See trade fair follow-up.
These time frames are rough practical guidance, not measured figures.
In Expomatik the list is opened in your account; campaigns go to each company's general address and results are tracked by replies. Opens are not measured. If you are not travelling, see reaching exhibitors without attending.
What does a short, honest first message look like?
Subject: Laundry equipment for hotels and a regional distributor
Hello, we would be grateful if you could pass this to your sales or business development team.
We make commercial washing and ironing machines for hotel and hospital laundries. We are looking for a distributor in your region that already supplies hotel projects. We could meet briefly at your stand or send our catalogue and service terms.
If this is not relevant, a short reply is enough and we will not write again.
The company in the example is illustrative.
Which rules apply before you email exhibitors?
In the UK, PECR does not require prior consent for marketing emails to corporate subscribers such as limited companies, but you must identify yourself and offer an opt-out; sole traders are treated as individuals, and some smaller agents and guest houses are sole traders. Other countries have their own rules, and Germany requires prior consent even for business recipients. Our guide Is It Legal to Email Trade Fair Exhibitors? covers the details. This article is general information, not legal advice.

Frequently asked questions
- Are hotels in a tourism fair exhibitor list?
- At travel trade fairs such as ITB Berlin, WTM London and TTI Izmir, hotels, hotel groups, tour operators, DMCs and tourism boards exhibit. At hospitality equipment fairs such as HostMilano and HOSTECH, hotels are mostly visitors; the exhibitors are equipment makers and distributors.
- What is the difference between a DMC and a tour operator?
- A tour operator or travel agent finds customers in the source market and sells the trip. A DMC (destination management company) is the local firm in the destination that runs transfers, hotels, excursions and events. The tour operator is the DMC's customer.
- Whose email address is in the list?
- Expomatik lists hold each company's general business address, such as info@ or sales@. There is no targeting of named individuals; your message reaches the company and asks for it to be passed to the right department.
- Where can I see the price of a list?
- The price is shown in your account before you open the list. Plans and sending fees are on the Pricing page.
